If you're a home educating family, you'll know that keeping track of everything your child learns throughout the year can feel like a big task. Over the years I've developed a system that not only keeps everything beautifully organised, but also creates a treasured keepsake that my children will have forever. Here's exactly how we do it!
The Folder System
At the start of each academic year, I buy a large ring binder folder from Asda, one for each of my children. Inside, I use a pack of 24 pocket folders (I get mine from Temu) to create individual sections for each subject. Each pocket folder holds the work, notes, and resources for that subject, running from September right through to July.
I also keep a calendar inside the folder to help keep track of what we've done and when, it's brilliant for the annual LA report too!
Capturing the Memories Throughout the Year
One of my favourite parts of our home education journey is capturing the moments as they happen. Throughout the year I snap lots of photos on my phone of the things we get up to, experiments, art projects, days out, cooking sessions, nature walks and more.
I print the photos out, stick them onto A4 card, write a small description and date on each one, and then laminate them. These little photo cards build up beautifully throughout the year and become a wonderful visual record of everything we've experienced together.
The Subject Dividers & Pocket Inserts
To keep each subject section clearly labelled and looking beautiful, I use printed subject dividers and pocket folder inserts. These slot neatly into the pocket folders and make it so easy to find exactly what you're looking for. I have them for all our main subjects, Maths, English, Science, History, Art, Trips Out, Cooking & Baking, and Gardening as well as the four seasons.
Finalising the Folder — Creating a Keepsake Book
Come June and July, the exciting part begins! I empty the ring binder folders and start the process of turning everything into a proper bound book that my children can keep forever.
I use a binding machine to punch the holes into all their work, then attach everything together using a comb binder. The result is a neat, professional-looking book that holds an entire year of learning, memories, photos, and achievements all in one place.
By July, what started as a practical report folder has become a genuine keepsake — something my children can look back on for years to come and see just how much they learned, grew, and experienced during their home education journey.

The Annual Report
As well as being a beautiful keepsake, the folder serves a very practical purpose, it provides all the evidence needed for the annual home education report for the local authority. Having everything organised by subject throughout the year means that pulling the report together in July is so much easier than you might think!
